Mechanical Cost Estimator

Job Summary:

To prepare accurate and competitive cost estimates for HVAC, ventilation, heat pump, and mechanical systems projects by combining technical engineering knowledge with commercial awareness. The role supports tendering, sales, and project planning processes to secure profitable work and ensure technically compliant solutions.

Key Responsibilities:

Your responsibilities will include, but are not limited to:

  • Review client enquiries, specifications, and tender documents to assess project requirements
  • Prepare detailed cost estimates for HVAC, air conditioning, ventilation, and heat pump systems
  • Perform quantity take-offs (BOQs) from drawings and specifications
  • Analyze material, labor, equipment, and subcontractor costs
  • Participate actively in tendering processes, including pricing strategies and bid preparation
  • Liaise with suppliers and subcontractors to obtain competitive quotations
  • Support the design team with cost-effective system selections and value engineering options
  • Prepare and issue technical and commercial proposals aligned with client requirements
  • Evaluate project risks, cost uncertainties, and commercial conditions
  • Assist the sales team in pricing strategies and client negotiations
  • Attend client meetings when required to clarify technical and commercial aspects
  • Ensure all estimates comply with technical standards, regulations, and company procedures
  • Maintain accurate cost databases, pricing structures, and historical data

Main Responsibilities:

  • Ensure all estimates are accurate, competitive, and submitted within deadlines
  • Deliver complete and compliant tender submissions (technical + commercial)
  • Coordinate with engineering, procurement, and project teams for input on pricing
  • Continuously update supplier pricing, equipment costs, and market trends
  • Support business development by contributing to winning strategies
  • Provide cost comparison studies and alternative solutions (value engineering)
  • Track submitted tenders, follow up with clients, and support conversion to orders
  • Maintain documentation of estimates, assumptions, and clarifications
  • Ensure alignment between estimated costs and actual project execution budgets
  • Prepare reports on tender outcomes, success rates, and cost performance

Qualifications:

Education & Experience

  • Proven experience in HVAC, Ventilation & Heat Pumps estimation, cost control, or tendering
  • Experience in building services, air conditioning, ventilation, or heat pump systems
  • Strong background in BOQ preparation, cost estimation, and bid analysis

Technical Skills

  • Understanding of HVAC systems, thermodynamics, and mechanical design principles
  • Ability to interpret technical drawings, specifications, and tender documents
  • Knowledge of system sizing and basic design principles (advantage)
  • Familiarity with estimation and design software (e.g., AutoCAD, Revit, Excel-based tools)

Commercial & Sales Awareness

  • Strong commercial mindset with the ability to balance cost, quality, and competitiveness
  • Understanding of pricing strategies, margins, and contract conditions
  • Ability to support sales and client negotiations with technical justification
